The meeting of The Frederick Horsman Varley Art Gallery Board convened at the hour of 4:15 p.m. with Jennifer Deacon presiding as Acting Chairman. 

 

 

1.         ADOPTION OF THE MINUTES OF THE FREDERICK

            HORSMAN VARLEY ART GALLERY OF MARKHAM BOARD

            MEETING HELD ON FEBRUARY 23, 2004

2.         CHAIRMAN’S OPENING REMARKS – N/A

 

3.         COMMITTEE REPORTS

 

a)                  Operational Committee –Howard Back briefly reviewed the minutes of the March 24th meeting and highlighted the positive increase in attendance for both 2003 and 2004; there is also expected to be an announcement shortly on the Civic Art Program – Corporate Communications are working on the press release announcing the donation of 35 paintings by Bruce Smith, a regional artist.  There was general discussion on the marketing of the Art Gallery and Councillor Shapero spoke of the newly formed Regional Tourism Committee – John Ryerson indicated he has been asked to sit on this Committee – and the potential to advertise through this venue.

 

4.         NEW BUSINESS

 

a)   New appointments to the Board – Councillor Shapero advised that the interviews have taken place and two individuals have been selected; announcement of the names will follow Council approval.  It was agreed that the Chair, Bill Pickering, would be mentor to the two new members upon their acceptance of the appointment.

 

b)      Proposal for reorganization of Program/Art Committee – Michael Rothe indicated that the groups have met but have not been able to reach consensus on the issue of collapsing the two committees into one.  The Art Committee will be meeting on April 16, 8:00 a.m. at the Art Gallery to discuss further; Michael Rothe invited any interested individuals to attend as well.

 

c)      Director’s report - John Ryerson reviewed his report; he circulated a binder of the artwork being donated by Bruce Smith for display at Town facilities, including Angus Glen Community Centre.  There was general discussion on advertising and the use of the Markham Page in the Economist & Sun; the Director agreed to discuss this issue further with Marjorie Rebane.

 

d)      Report on the Unionville Gala – Brian Roman advised that October 28, 2004 at the Markham Theatre has been set for the Gala which will have a theme of a Masquerade – ticket prices will be $75.00 which will include the show, wine and appetizers prior to the show followed by desserts etc. at intermission.  The objective is to raise $75,000, which will be earmarked for restoration of the McKay House and grounds.  Brian Roman indicated that there are 16 members on the organizing committee this year; there is a fundraising sub-committee as well and he asked for a volunteer from the members to replace Bob McCulloch who has stepped aside due to time constraints.  It is also planned to have an event(s) at the Art Gallery prior to the Gala to make masks – wine/cheese would be served and there would be a nominal charge of $25 to cover costs.  Brian Roman also called on all members for contact names/companies who might be interested in donating/contributing to this fund-raising initiative for the McKay House.

 

e)      Tribute to Kathleen Tea event – Jennifer Deacon advised that April 25 has been designated Unionville Day; a letter from Mayor Cousens will be mailed out shortly outlining the details of the day.  It is intended to have a short parade from the Band shell to the Gallery with a possible stop at the McKay House on the way; there will be a luncheon at the Gallery for approximately 100 people followed by a High Tea at 2:00 pm.  Jennifer Deacon indicated that an invitation was sent to Alan Gottleib to attend and present a cheque from Heritage Canada for the McKay House restoration; she also indicated that the Unionville BIA has contributed funds to assist with the expenses of the day.

 

f)    Art Auction – Bob McCulloch advised that May 12 is the date set for the Art Auction to be held at the Crystal Fountain; he asked all members to help in the promotion/sale of tickets to this very worthwhile event; also looking for volunteers to help out the day of the event and asked if anyone had items that could be donated to the silent auction event to let him know.

 

5.                  COMMITTEE REPORTS

 

a)   Development Committee – Jennifer Deacon advised that there has not been a meeting but did mention that Mayor Cousens has made a commitment to have Governor General Adrienne Clarkson attend an event at the McKay House sometime this fall; once the Governor General’s availability has been confirmed, a special event will be arranged.  John Ryerson reiterated the importance of donors/sponsors for the upcoming Berczy event – there is a shortfall in monies for the printing of the programs for this event.

 

b)   Program Committee – No report at this time.

 

c)   Volunteer Committee – Bob McCulloch advised that there were 65 applications received for the volunteer co-ordinator position; through an intense review process, it was down to 4 potential candidates; these have been interviewed and a decision has been reached.  It is hoped to make an announcement on Wednesday, March 31 following reference checks.  Bob McCulloch acknowledged the efforts of John Ryerson in keeping the Volunteer Committee functioning during this process and there are still 10 to 11 people coming to meetings of the group.

 

5.         OTHER BUSINESS – Patty Loveland gave a tribute to Mary Pan for her work on the Board over the past years and indicated that Mary would be keeping involved by helping out on various sub-committees.  Don Hindson asked if there was going to be a recognition of those members who have recently left the Board; it was agreed by all that this take place at the High Tea event in April

The next regular meeting of the Art Gallery Board is scheduled for:

 

MONDAY, MAY 10, 2004, AT 4:00 p.m. IN THE YORK ROOM AT THE MARKHAM CIVIC CENTRE.

On a motion by Stan Neal and seconded by Brian Roman, the meeting adjourned at 5:15 p.m.
