Theatre Board Tickets

 

Purpose

o       Allow Board members to ‘schmooze’ with sponsors, to encourage repeat sponsorship at the Theatre

o       Add profile and Theatre presence to sponsor receptions

o       Allow Board members to attend shows at the Theatre

o       Expose Board members to what occurs on a regular basis at the Theatre

 

Number

o       1 per Board member (for sponsored shows) to a maximum of 5 tickets per show (formerly 1 or 2 per Board member for sponsored shows)

 

Authorisation

o       Theatre Manager, Client Services Manager

 

Process

o       A list of sponsored shows for each upcoming month will be circulated at the board meeting prior to the shows.  A total of up to 5 tickets for each sponsored show will be made available for Board use for each sponsored event. The Board members will fill in a request form at the monthly board meeting to request tickets to attend sponsored events where they will represent the Theatre Board.  If required, additional seats may be made available for Board members use, subject to availability.

 

 


 

Artists Tickets

 

Purpose

o       Allow Artists to have agents, friends and family attend shows at the Theatre

 

Number

o       8 per show, as required by contract with artists

 

Authorisation

o       Theatre Manager, Client Services Manager, Marketing Co-ordinator

 

Process

o       As part of the rider for a PES show, the number of complimentary tickets is recorded and negotiated. Only in extenuating circumstances will the number be different than 8 per performance.  The Artist (or representative) must request these seats at least two business days prior to the event to allow for processing of the requests and possible last minute public ticket sales. When possible, the requests for these tickets should be made in writing (faxed) with the date of show and the names of the ticket recipients.

 

 


 

Media Tickets

 

Purpose

o       Allow Media access to events at the Theatre to review and add profile to events at the Theatre

 

Number

o       As required, to a maximum of 4 tickets per show (formerly “As required”)

 

Authorisation

o       Marketing Co-ordinator, Theatre Manager, Client Services Manager

 

Process

o       As requests from bona fide media representatives are received, requests are made to the Box Office, and tickets are issued to the media representatives

 

 


 

Papering

 

Purpose

o       Allow shows which are under-sold to be attended by a reasonable number of people

o       Give people in the community who may not have the chance, an opportunity to attend a live theatre show

 

Number

o       As required

 

Authorisation

o       Marketing Department, Theatre Manager, Client Services Manager

 

Process       

o       As it becomes known that a show is not selling well, the Theatre Manager and the Marketing department will make a decision to ‘paper’ the show.  The tickets will be made available to a pre-determined list of groups/individuals which would be appropriate to attend the show. These would include charities, seniors groups, members of the Theatres’ volunteer Board and Committees, other arts groups in the Toronto area, Town of Markham staff.  The decision to ‘paper’ a show would be made between one and two weeks prior to the show, to allow communication to go out to the potential ticket recipients.

 

 


 

House Seats

 

Purpose

o       Allow seats to be put aside for ticketing emergencies, patron satisfaction, unanticipated production requirements, or last minute ticket requests from artists, media, sponsors, or staff

 

Number

o       4 per show (formerly 8, per show, 4 per show for popular shows)

 

Authorisation

o       Theatre Manager, Client Services Manager, Client Services Assistant, House Manager, Supervising Technician, Marketing Department

 

Process       

o       These tickets are usually used on the day of the event.  As the needs become known, House seats can be utilised at the discretion of any of the authorised parties. Communication between the parties is essential to ensure that these tickets are properly utilised.

 

 


 

Sponsor Tickets

 

Purpose

o       Provide a sponsor ‘perk’

o       Allow sponsors to attend the production they have contributed towards

 

Number

o       Up to 12 per sponsored show – this number will vary with the value of the sponsorship and the event ticket price (formerly 28 per sponsored show depending on the value of the sponsorship)

 

Authorisation

o       Marketing / Development Co-ordinator, Theatre Manager, Client Services Manager

 

Process

o       These tickets are blocked off before shows go on sale to the public. The seats are put on hold for the first performance (or alternate performance) for all PES shows. If the show is not sponsored, these prime location seats are sold to the public. These seats are released at least 6 weeks prior to the event.  This is done in discussion with the Development/Marketing Co-ordinator and the Theatre Manager. The sponsorship profit and loss budget reflects the value of these tickets. 

 

 


 

Development Seats

 

Purpose

o       Allow seats to be assigned to sponsors or potential sponsors, to encourage their sponsorship of shows

 

Number

o       Up to 2 per show - as required and available (formerly 2 to 4 per show)

 

Authorisation

o       Development /Marketing Co-ordinator, Theatre Manager, Client Services Manager

 

Process

o       When required, these tickets will be requested to be reserved .They are subject to availability and are issued at the discretion of the Theatre Manager.  These seats may not be available for very ‘popular’ shows.
