SUBJECT:

Amendment to Policy Titled Community Service Groups Criteria for Use of Town Facilities

 

 

 


 

 

RECOMMENDATIONS:

 

THAT the report titled Amendment to Policy Titled “Community Service Groups Criteria for Use of Town Facilities” be received;

 

AND THAT the policy be amended to provide, based on availability, that Members of Council be permitted to use community centre meeting rooms free of charge for public meetings relating to Ward, Town or Regional issues;

 

AND THAT the Rouge River Community Centre Poolside Lounge be added to the list of meeting rooms available to Community Service Groups at no cost, based on the criteria approved by Council June 23, 1998;

 

AND THAT free use of meeting rooms by Members of Council for election-related or personal use not be authorized;

 

AND FURTHER THAT for any other facility bookings the Community Service Group rate will apply to Members of Council.

 

 

PURPOSE:

To respond to the Resolution of Council, Meeting No.16 dated September 14, 2004.

The Committee of the Whole on that date reviewed the original staff report and asked staff to refine and clarify Option 2 which read

 

“The current practice is that Members of Council can use meeting rooms at the Civic Centre at no charge or pay the Community Service Group rate at other Town Facilities. Should Council decide to revise the policy to include Members of Council to utilize at no charge the designated rooms at other Town Facilities, then additional changes need to be made to the policy”

 

To receive approval to add the Poolside Lounge at the Rouge River Community Centre to the list of meeting rooms available at no cost to Community Service Groups.

 

 

BACKGROUND:

At its meeting held on September 14, 2004, Committee of the Whole received the report titled “Community Service Groups Criteria for Use of Town Facilities” and referred it back to staff to   make the proposed amendments to the current policy for the use of all community centre meeting rooms.

 

SUMMARY:

Staff are recommending that Members of Council be permitted to use the community centre meeting rooms free of charge for public meetings relating to Ward, Town or Regional issues based on availability and that free use of the meeting rooms for election-related or personal use  not be authorized.
