The Communications Committee meeting convened, without quorum, at the hour of 2:15 p.m. with Deputy Mayor F. Scarpitti in the Chair.

 

 

1.         UPDATE ON GREAT HALL

 

HDTV System

 

Ms. Janet Carnegie, Director, Corporate Communications, provided a brief update on the status of the installation of the 61” HDTV system in the Great Hall.  Members were given a preview of the type of information that will be on a continuous loop to be displayed on the screen.  The material can be updated on a daily basis.  While there is no sound with the on-going information display, the system is equipped with sound which will be used as appropriate. 

 

 

 

 

 

Display Case Design/Quote

 

Ms. Janet Carnegie, Director, Corporate Communications, provided an update on the approved display case for the Great Hall, and advised that three vendors have been contacted regarding its design and installation.

 

Members were advised that a custom design, made of glass and aluminum, with halogen lighting, may be available by June 1st.  Once the design has been approved, building and installation of the units would take approximately six weeks.

 

 

2.         TOWN PAGE IN LOCAL NEWSPAPERS

 

Ms. Janet Carnegie, Director, Corporate Communications, advised that some adjustments have been made to the Town’s Page in the local newspapers, and provided a sample of the new, less cluttered, format.  In addition, Members received a “process sheet” on the procedure to follow to place information on the Town Page.

 

Staff advised that positive feedback has been received to date from residents regarding the Town Page, and noted that it is perceived to be one of the preferred means of information distribution.  A survey will be sent out to residents in the fall.

 

 

3.         PROPOSED FUTURE MEETING DATES

 

Members had before them proposed future meeting dates for the remainder of 2005.  These meetings would be held immediately following meetings of General Committee, as follows:

 

·         Monday, June 20 (if necessary only – General Committee agenda expected to be large)

·        Meetings in July or August – at call of Chair

·        Monday, September 19

·        Monday, October 17

·        Monday, November 21

·        Meeting in December – at call of Chair

 

It was agreed that the June 20th meeting would only be held if necessary.
