1.                  APPROVAL OF THE AGENDA

That the agenda be approved as presented.

 

Sam Sahoy asked permission to leave the meeting early and requested that if Item 7(l) be considered first.

 

2.                  ADOPTION OF MINUTES OF JUNE 20, 2005

That the minutes of the 7th meeting held on June 20, 2005, be adopted as presented.

3.                  BUSINESS ARISING FROM THE MINUTES OF JUNE 20, 2005

 

·        Re. Park Security Personnel - Javaid Khan advised that following the June 20th meeting, he met with Councillor Usman to discuss the proposal to hire private security personnel.  At that meeting, it was decided to employ the Town

 

4.                  UPDATE OF PROPOSED 2005 BUDGET [Joanne Olson]

 

It was reported that the 2005 Budget had been increased to cover the costs of the following:

 

·        $4,000  for Park Security Officers (addition of 4 By-law Officers)

·        $1,200 for sound systems equipment (2 speakers, 2 scaffolding, CD playback deck, 2 microphones)   

 

4.                  DISCUSSION OF EVENTS

 

l)    Food Vendors [Sam Sahoy]

 

Sam Sahoy confirmed that 19 vendors have signed the contracts.

 

 

a)   Heritage Grant Request  [Tina Murphy/Olivia Bella]

                    

Olivia Bella reported that the grant for $2,000 from Heritage Canada has not been received as yet. 

 

 

b)      Senior’s Luncheon [Laurie Burns/Erin Shapero]

 

Joanne Olson reported that Laurie Burns would not be able to help at the Senior’s Luncheon.  Joanne advised that a small committee would be responsible for decorating.  The volunteers will be asked to arrive at 10:30 a.m. 

 

A concern was raised that only 300 seniors have registered.  It was agreed that Lin Manuel be contacted and that the seniors be encouraged to call the “hotline”. 

 

Deputy Mayor Scarpitti requested that Corporate Communications be consulted whether another ad should go out in the local newspaper on Thursday.  [Olivia Bella]

 

c)      Fireworks & Permit [Steve Matunin]

 

Steve Matunin confirmed that the Fireworks would be set-up by Thursday evening.

 

 

d)      Parking at Milne Park [Steve Matunin/Rob Hincks]

 

Steve Matunin confirmed that everything would be ready by Thursday evening.

 

 

e)   Flag Raising and Opening Ceremonies (Joanne Olson)

 

                  Joanne Olson advised that an agenda has been prepared. 

 

Deputy Mayor Scarpitti made an illustration of the set-up of the flag raising ceremonies. [Olivia Bella]       

 

 

f)    Entertainment [Joanne Olson]  

 

Joanne Olson advised that everything is all set. 
 
 

g)      Children’s Activities/Events [Jeanne Bowman/James Bush]

 

Jeanne Bowman reported all the necessary arrangements have been made. Jeannne advised that two members of the Markham Public Library Board have decided to participate. 

 

Everest D’Souza was assigned to help Jeanne Bowman.  [Jean Bowman/Everest D’Souza]

 

 

h)      Parade [Bob Walter/Tara Willis]

 

Tara Willis reported that 37 groups are participating in the parade.

 

Deputy Mayor Scarpitti requested that the Governor General’s Band be placed in front of the Veterans.

 

Due to high heat temperature warnings and the concern about dehydration, Deputy Mayor Scarpitti proposed that “cooling stations” be placed along the parade path and that bottled water be distributed to all parade participants.  [Bob Walter/Tara Willis] 

 

 

 

 

i)        Advertising/Posters/Invitations [Emma Uffren/Shannon Walter]

 

Arising from discussion that only 300 seniors registered for the luncheon, Shannon Walter raised a concern that the advertisements for the seniors luncheon have not been posted in Community Centres.

 

 

j)    Transit Arrangements (Tina Murphy/Bob Walter)

 

      Bob Walter reported that all transit arrangements have been made and are ready.

 

 

k)   Sponsorship [Deputy Mayor Frank Scarpitti]

                    

Maida Dalmacio was requested to forward an updated budget report to Deputy Mayor Scarpitti and Councillor Usman. [Maida Dalmacio]

 

     

m)  Signage [Bob Walter]

 

Bob Walter advised that most of the banners/signage have been made.  Bob requested a list of all sponsors.

 

 

n)      Volunteers [Javaid Khan]

 

Javaid Khan reported that there are currently 30 registered volunteers. 

 

Javaid was requested to send Shannon Walter a list of volunteers by e-mail.  [Javaid Khan]

 

 

o)   Stages (Steve Matunin/Bob Walter)

 

Steve Matunin reported that the stage would be ready by Thursday evening.

 

 

5.      OTHER BUSINESS

 

            The following matters were discussed:

 

·              Ribbon (to be used for the Ribbon Cutting Ceremony) – add more poppies to the ribbon. [Olivia Bella]

 

·              Special seating for Veterans at the Seniors’ Luncheon. [Joanne Olson]

 

·              Speaker on behalf of the Veterans at the Seniors’ Luncheon – contact the association President to determine the name of the person (s}. [Joanne Olson]

 

·              List of questions for buses. [Javaid Khan]

 

·              Swim pass for children who have decorated their bicycles. [Tara Willis]

 

·              Bell Canada Banner – ask volunteers to carry the banner at the parade. [Javaid Khan]

 

·              “Lost and Found” at Milne Park to be at the St. John Ambulance area. [Steve Matunin]
