The meeting convened at 3:05 p.m. with Jim Sandiford in the Chair.  

 

 

1.         MINUTES OF MEETING HELD APRIL 21, 2009

That the minutes of the Santa Claus Parade Committee meeting held on April 15, 2009 be adopted.

2.         BUSINESS ARISING FROM THE MINUTES

 

Meeting with York Region Police re Road Closures – Joanne Olson advised that she has contacted the person in charge, and will be meeting with them shortly.

 

Selection of Bands for Parade – Joanne Olson has lined up a few bands and cavalry groups. The fee is an issue this year. The Committee supported the cost of $1,000 for the Lieutenant General’s band.

 

Markham-Unionville Rotary Club – The Chair advised that he is having difficulty getting the Rotary Club to assume responsibility for the float. Phil Howes offered to contact the group in this regard.

 

New Santa Claus – The Chair advised that the proposed replacement “Santa” has not been confirmed yet. An update will be provided at the next meeting.

 

SponsorshipsJim Sandiford and Susan Peterson are sending their sponsorship contact information to Anna, who will coordinate the approach to sponsors this year. Anna will start to make calls and report at the next meeting. Phil Howes requested that the sponsorships be coordinated with the Santa-Fest event. The joint approach would provide the best exposure for the sponsors. The Committee discussed a joint parade/Santa-Fest sponsorship package, sponsor identification, and possible “executive clown” opportunities.

 

Waivers for Parade Participants – The Chair advised that Fred Rich is pursuing a resolution to this issue. Providing a set of safety rules may be sufficient. Joanne Olson offered to provide the set of rules used for the festival, which could be adapted for the parade and distributed to the participants and parents. Joanne will provide the rules at the next meeting.

 

Feedback from Other Municipalities – Parade Best Practices – Councillor John Webster will provide an update at the next meeting.

 

Awards Ceremony – It was suggested that more information and better directions need to be provided to the public. Better signage and staff/volunteers directing people to the right location would help. Only one or two people from each float needs to attend, and staff should approach each float at the end of the parade as it unloads, to direct the appropriate people to the ceremony, while the other participants move towards the food and other activities.

 

Santa-Fest, Festival of Lights – There was nothing to report at this time. Phil Howes will provide an update at the next meeting.

 

Themes for 2009 – The Committee was provided with a list of previous parade themes, and was requested to consider possible themes for 2009, for discussion at the next meeting. A suggestion was made for an Olympic Spirit theme. Anna Rose will check into Olympic copyright issues.

 

 

3.         NEW BUSINESS

 

Roads Closures – Joanne will organize a separate meeting to deal with roads. Peter will forward information from REACT, and Bob will meet with York Regional Police before meeting with REACT.

 

Grand Marshall – The Committee discussed potential Grand Marshalls, suggesting a past or present Olympian. Several names were mentioned, but they may not be available in December. Further discussion will be held at the next meeting.

 

4.      NEXT MEETING

 

The next meeting of the Santa Claus Parade Committee is scheduled for Tuesday, June 16 at 3:00 p.m. in the Ontario Room.
