The meeting convened at 4:05 PM with Jim Sandiford in the Chair. 

 

 

1.   MINUTES OF MEETING HELD OCTOBER 27, 2010

      That the minutes of the Markham Santa Claus Parade Committee meeting held on

      October 27, 2010, be adopted.

2.   ITEMS FOR DISCUSSION

 

a)      Road Closures

 

            Mr. Morgan Jones, Supervisor, Operations will forward the file (by e-mail) that includes a map outlining the streets that will be closed to Corporate Communications.     

 

            Mr. Peter Cusimano advised that Olivia Bella has submitted the applications to both GO stations regarding the use of the parking lots.

           

           

b)     Road Closure Letters

 

            Mr. Dennis Flaherty, Director, Communications & Community Relations advised that Corporate Communications with put together the letter and have students hand deliver to the households.  It was noted that the offices on the upper level of the buildings also be notified of the road closures.  Mr. Peter Cusimano indicated that he will go door-to-door to the drop off a letter and briefly speak to the business owners. 

 

c)      Santa Claus Float, Markham

 

Mr. Jim Sandiford advised that he will require Operations staff at 2:00 PM at the Markham Fairgrounds on Thursday November 25, 2010 for pick up from the two trailers the reindeer, etc. (Town of Markham and Rotary trailers) and deliver them to the Passmore Crupi works yard.  He indicated that he will require 5 volunteers on Friday November 26, 2010 at the Crupi yard to assist in assembling the floats.

 

d)     Sponsorships

 

It was confirmed that Angus Glen is donating $1,500.00 and two golf foursomes that will be auctioned with the proceeds from the auction going back to the parade fund.

 

Mr. Flaherty confirmed that the Santa Claus Parade will be advertised in the Markham Economist and Sun on the Town page.  He will also look at having the parade advertised with CP24, 680 NEWS and Rogers.

 

Mr. Flaherty confirmed that Honda will provide two vans that can be used to transport individuals back and forth.  Councillor Webster suggested that the Mayor and Members of Council attending be directed to park at the end of the parade (GO Station) and use the Honda vans to transport them to the beginning.  The Committee agreed that the ATV's (4 in total) would be appropriate to have the Grand Marshall and dignitaries ride in.  Mr. Flaherty will confirm with Honda whether they will provide drivers.

           

e)      Driver Training

 

Mr. Peter Cusimano advised that all the information has been posted to the website and that the training session is scheduled for Monday November 22, 2010 at the Markham Civic Centre, Canada Room from 7:00 PM to 9:00 PM.

 

f)       Volunteers

 

Mr. Sandiford advised that he will require 50 volunteers to carry the several banners and will need a volunteer to wear the Mascot outfit supplied by PowerStream.  He will also require 5 volunteers on the Friday to assist with decorating the float.

 

 

g)      Banner

 

Corporate Communications will look after the design of the banner and work with Operations staff/sign shop. 

 

h)     Washrooms

 

Mr. Flaherty confirmed that the portable washrooms have all been ordered and that two will be placed at the Museum and the remaining four will be placed on the Town's property on Robinson Street.

 

 

3.   OTHER BUSINESS

 

            Passes

 

            Mr. Peter Cusimano advised that Highway 7 up to Wootten Way will be closed from 9:00 AM and that he can provide passes to anyone who requires them for their vehicle such as the Honda vehicles.
